Sample inspection report for an alarm and security system: what it should contain

How to recognise a quality inspection report and what to watch for to avoid being misled.

Why is a sample inspection report important?

The inspection report for the alarm system is not free-form; it has a precise structure defined by standard ČSN EN 50131. Insurance companies know what to look for in the report and can identify fraudulent or incomplete reports.

Mandatory sections of the inspection report

Header and identification

  • Report number - unique identifier (e.g. SB-2026-00156)
  • Date of inspection - exact date and time of commencement
  • Type of inspection - initial or periodic
  • Adresa objektu - street name, house number, postcode, town

System details

  • Brand and model of the PBX - Jablotron 100/CX, Paradox Evolution apod.
  • Number of zones - total number of monitored elements
  • Typ komunikace - GSM, IP, landline, or a combination
  • Monitored area - approximately "50 m²" or "1st floor + basement areas

Technical inspections: list of components

This section must contain an overview all inspected componentsusually in tabular form:

  • Motion sensors - quantity, model, result (OK / NOK)
  • Magnetic contacts - quantity, location, functional test
  • Sirens (indoor and outdoor) - volume in dB, mechanical mounting
  • Baterie a UPS - capacity Ah, measured voltage, expected runtime
  • Communication module - type, signal (if GSM), test alarm

Measured values

Quality report contains specific numerical values, not just "OK":

  • Battery voltage: 12,8 V (norm. 12,0-13,8 V)
  • Siren volume: 86 dB (min. 85 dB)
  • GSM signal: -75 dBm, 2 bars (acceptable)

Conclusion of the report

Result and classification

Must be clearly statedwhether the system:

  • VYHOVUJE - without reservations, no issues found
  • PASSING WITH RESERVATIONS - there are minor deficiencies (e.g., replace battery within one year)
  • NEVYHOVUJE - the system is not functioning correctly and is unsafe

Recommendations and Remedial Actions

If we found a problem, we will design a solution:

  • Replace the battery in the PBX within 30 days.
  • Secure external siren: not firmly attached
  • Restore communication with PBX: module is out of network range.

Identification of the inspection technician

  • First and last name - who carried out the inspection
  • Authorisation number - or the company's registration number with authorisation
  • Signature and stamp - autorizace osoby
  • Telefon a e-mail - contact for enquiries

What to avoid: how to spot a scam

Red flags: incomplete report

  • The report is only one page long. It is too brief.
  • Missing specific measurement figures: only a general "OK".
  • No signature or authorisation of the inspection technician is visible.
  • Missing list of items: what was actually inspected?

How do the initial and periodic reports differ?

Initial message je more detailed - includes calibration, insulation measurement, and tamper loop testing. Periodic report specialises in functionality and condition - is shorter but must still be complete.

How to save the report?

Archive all inspection reports for at least 5 years.Insurance companies may request them, and when selling a property they will be part of the handover documentation.
